Import roles or people from a spreadsheet
Bring your search in from a spreadsheet. You match the columns, check every row before anything is saved, and can undo the whole import for 7 days.
Before you start
- Save it as a CSV file. In Excel or Numbers, choose File › Save As (or Export) › CSV. In Google Sheets, choose File › Download › Comma-separated values.
- Put column names in the first row. One role or one person per row after that.
- One file is roles or people, not both. Import each in turn.
- Up to 5 MB and 2,000 rows per file. Split a bigger file into smaller ones.
- Starting from scratch? In the import window, choose Download a sample CSV. It has every column Evallo understands, with example rows that show the formats. Replace the example rows with your own.
Import a file
- Open Settings, then Your data.Under Import, choose Import CSV.
- Choose Roles or People, then your file.Drop it on the window, or choose Choose file.
- Match your columns.Evallo guesses where each column goes, and how your stage names match its stages. Change any that look wrong, or choose Don’t import.
- Review every row.See what will be added, possible duplicates and rows that need a look. Nothing is saved yet.
- Choose Import.Everything is saved at once, or nothing is. Keep the window open until it finishes.
Columns for roles
Your column names don’t have to match these exactly. You match them in step 3.
- Company (required). A row without one is skipped.
- Title, the role’s name, like Account Executive.
- Stage: Applied, Recruiter screen, Interviewing, Offer, On hold or Closed. Your own words work too, like Onsite or Rejected; you match them in step 3.
- Recruiter, the recruiter’s name.
- Salary, as you’d write it, like $150K base, $300K OTE.
- Base and OTE, as plain numbers, like 150000.
- Location, and Work arrangement: Remote, Hybrid or Onsite.
- Applied on, a date like 10/03/2026. 2026-10-03 and Oct 3, 2026 work too.
- Link to the job posting, starting with https://.
- Source, like LinkedIn or Referral, and Notes.
Columns for people
- Name (required), or First name and Last name. A row without a name is skipped.
- Title and Company.
- Email. Put several in one cell, separated by semicolons.
- Phone.
- LinkedIn, a full linkedin.com link.
- Relationship: Recruiter, Agency recruiter, Hiring manager, Interviewer, Referred you, Former colleague, Former manager, Mentor, Friend, Alumni, Industry contact or Other.
- Notes.
Duplicates and rows that need a look
- Possible duplicates are skipped unless you choose Import anyway. A role counts when its company and title match one you already have, or an earlier row in the file. A person counts when an email matches, or the name and company do.
- A value Evallo can’t read, like “next week” as a date or a link that isn’t one, is left empty. The row is still imported, and the review says what was left out.
Undo an import
- For 7 days, open Settings, then Your data, and choose Undo import next to it. Evallo says what will be removed and asks first.
- Undoing removes the roles that import added, with any tasks, meetings and history added to them since. Quick notes and people you already had stay.
- Undoing people removes the people that import added. People you already had stay.
If something’s off
- “That file isn’t a CSV.” Save it as CSV first (see Before you start), then upload that.
- “That file is too big.” Split it into files of up to 2,000 rows.
- A stage or column went to the wrong place. Choose Back to return to Match columns and change it. Nothing is saved until you choose Import.
- Undo says to undo a merge first. Someone from the import was merged with a person you already had. Undo that merge in People, then undo the import.
- Import isn’t there. Importing is part of Pro and the trial, on a computer. On Starter, Your data shows Compare plans.
